Job Description Time Commitment: 5-15 hours per week
Compensation: $12 an hour
The Gatton College Special Events Department is seeking interns to provide event coordination and day of event support for events within the college. These events include academic competitions, conferences, tailgates, open houses and receptions. Throughout this internship, students will have the opportunity to develop professional skills in hospitality, communication, project management, inventory and budget management, teamwork and leadership. Evening and weekend work will be required when events are scheduled at such times. The time frame of this internship is one semester. Upon the internship's completion, students are eligible to be promoted to an event coordinator role.
Previous hospitality and/or customer service experience is preferred, but not required. At a minimum, one professional or academic reference is required for consideration.
- Set up, replenish, and tear down food service stations: Utilizing & maintaining hospitality equipment to arrange/assemble beverage stations that include brewed coffee, tea, lemonade, soft drinks, etc.
- Wash and sanitize serving equipment and dishes.
- Light cleaning of event spaces and catering kitchen after events. Manual labor involved: set up and breakdown tables and chairs, light room cleaning, wiping off tables, trash removal and vacuuming as needed. (20-30 pounds).
- Help college personnel monitor usage of the building during and after events to ensure proper use and care is taken by all those using the building. Ensure that all spaces are returned to default setup and in excellent condition after each event. Report on any misuse of space or damage to the Special Events Manager.
- Serve as Gatton College onsite representative at B&E and non-B&E events held in the Gatton College building; aid sponsoring departments and organizations holding events with coordination and day of logistics.
- Assist Gatton staff with various tasks pertaining to Gatton events, such as posting temporary and wayfinding signage, manning registration desks, compiling programs, and all other tasks associated with events.
- Maintain inventories of supplies and food & beverage
- Place and receive vendor orders in collaboration with Event Manager
- Coordinate various event logistics
- Obtain room blocks for conferences
- Obtain vendor proposals and contracts in collaboration with Event Manager
- Attend meetings with event hosts to determine event needs, including site visits
- Assist with event menu planning and décor design
- Assist with maintenance of department standard operating procedures handbook
